Cloud Solution: How the Implementation Process Works Step by Step

Customers who were using other systems saw in us, from ControlXRM, the opportunity to manage their commercial enterprise in a centralized way, without the need to contract multiple systems, each handling a part of the process.

This type of technological limitation hampers business management not only due to higher costs but also because of low productivity, demanding the repetition of routine processes, adjustments, registrations, integrations, and data analysis.

The difficulty in generating reports is also significant in this management model using various different tools.

Customer Pain Points

Shopping Itaguaçu in Santa Catarina, Brazil, used an ERP for financial management and lease contracts, another system for the merchant portal, a different one for electronic capture of merchant sales, and a fourth one for managing internal process approval flow.

Moreover, they faced challenges as they couldn’t use the systems remotely, operated by a management team in another city, sharing work routines with the local office team of the shopping mall. In addition to this, they had to support the shopping’s IT resources for installations, updates, and maintenance of the server infrastructure for these systems.

When seeking a solution in the market, they found that ControlXRM offered all the modules they needed for their daily operations, along with mobility and sharing of shopping routines between the local and remote teams.

Migration, Implementation, and Training

We proceeded with the implementation plan, which involved analyzing all the data that would be migrated from the old systems to ControlXRM.

This plan was carried out collaboratively between the ControlXRM and Shopping Itaguaçu teams. More than 30 years of historical data needed to be migrated. It was also necessary to configure the new system so that the team could transition from the old systems without any interruption in their daily work processes.

This was ensured thanks to the alignment proposed by our project team. All training and migration activities were completed in 3 months, involving the entire management, support, and operational team of the shopping mall, as well as the users of the merchants who routinely access the Merchant Portal.

In these three months, we performed all the parameterization, configuration, training, and parallel billing between the ControlXRM platform and the old system.

Everything was conducted to ensure that the data was perfectly correct for the start of billing by ControlXRM, including the activation of the Merchant Portal, issuance of invoices, expense allocation, and management of accounts payable and receivable, including cash flow and operational routines such as maintenance, security, and marketing.

After implementation, the continuity of business success was ensured by the monitoring carried out by our team, identifying and continuously acting on the process until its stabilization.
